Supplier invoices captured, approved and re-billed
Capture the PDF, check the fields read from it, approve, and hand the cost to the project it belongs to.
The problem
Supplier bills land in three inboxes. One person knows which project they belong to, and a bill nobody books is a cost nobody re-bills.
How it works in workelligence
- 1
Capture the invoice.
Upload the PDF or photo under Billing → Supplier invoices. An e-invoice is read from its embedded data; any other document is read and the form fills in with suggestions.
- 2
Review.
The document sits beside the form; check supplier, number, date, net, VAT and total. Possible duplicates are listed and must be acknowledged.
- 3
Approve.
The record leaves Needs review and the document is locked.
- 4
Hand the cost to the project.
Create the project expense from the record; the next Bill project run can include it.
- 5
Mark as paid.
With date and amount; a workflow can notify your bookkeeping on approval or payment.
